The Mediation Process- Step by Step
Workplace mediation is a structured yet flexible process, adapted to the situation and the needs of those involved.
Each mediation is unique, but the process follows a clear set of steps. These help to keep the conversation safe and focused.
- 1
Initial contact
Any of those involved can contact the mediator by phone, email or through the website. In workplace mediation, the initial contact often comes from a manager or an HR professional. In such cases, the mediator reaches out to the others.
Mediation can only proceed if everyone involved agrees to take part.
2Preparation
The purpose of this stage is to agree the conditions for mediation and to understand the nature of the conflict The parties speak with the mediator individually.
The first session is also scheduled at this stage.
3Mediation sessions
A session usually lasts between 2.5 and 3 hours. The process typically involves two to six sessions.
In the first session, each person has the opportunity to speak without interruption.
The parties then identify the key issues and discuss them one by one. The mediator ensures that the conversation remains balanced and takes place within a safe and structured framework.
4Outcome
The parties clarify how they wish to move forward. This may take the form of an agreement, or simply a way forward that works in practice.
If needed, the outcome can be recorded in writing.
5Follow-up (optional)
A follow-up meeting may take place one or two months later. This allows the parties to reflect on what has changed and to raise any further questions.

Gyakori kérdések a mediációról
How long does mediation take?
This always depends on the situation. In some cases, one or two sessions are enough; in others, more meetings may be needed.
The process is adapted to the pace of the participants and the complexity of the situation. Sessions are usually held every two weeks, and the process typically does not extend beyond six sessions.
Is participation mandatory?
No. Mediation is always voluntary.
It can only work if the participants are willing to engage in dialogue and take part in the process.
What happens if no agreement is reached?
Mediation does not always lead to a formal agreement.
In some cases, there may be no need for one, or the parties may not reach full agreement. Even so, it is often a significant step forward when the situation becomes clearer and tensions are reduced.
How confidential is mediation?
Mediation is a confidential process. Mediators are bound by confidentiality, and what is said during mediation does not leave the mediation setting unless the parties agree otherwise.
Who can initiate mediation?
Mediation can be initiated by any of those involved, but the request may also come from a manager or HR professional.
However, mediation can only begin if the parties themselves are willing to take part.
What happens if tensions between the parties are too strong?
In such situations, mediation can be particularly helpful.
The structured and safe framework helps ensure that the conversation remains manageable and constructive.
Can mediation work online?
Yes. In many situations, mediation can be carried out effectively online.
This is always adapted to the specific circumstances.
When is mediation not the right approach?
If one of the parties does not wish to take part, or there is no minimum openness to dialogue, mediation is unlikely to work effectively.
In such cases, a different approach may be more appropriate.
